How do I connect Gelee to HubSpot?

Checked October 2026

Create a Service Key in HubSpot with three contact scopes, then paste it into Gelee under Settings, Integrations, HubSpot. From then on, every accepted connection, reply and booked call creates or updates the HubSpot contact and logs a note on its timeline. It takes about five minutes and needs a HubSpot Super Admin.

How to connect, step by step

You need to be a Super Admin in HubSpot, or a user who has been given Developer tools access. A regular user cannot create a Service Key, so if the menu is missing, that is the first thing to check.

Step 1
In HubSpot, go to Settings, then Integrations, then Service Keys. On some accounts the same page is under Development, then Keys, then Service keys.
Step 2
Click Create service key and name it Gelee. Click Add new scope and tick exactly these three: crm.objects.contacts.read, crm.objects.contacts.write and crm.schemas.contacts.write. Click Update, then Create.
Step 3
Click Copy next to the new key. It starts with pat-. HubSpot shows the full key once, so copy it now.
Step 4
In Gelee, go to Settings, then Integrations, then HubSpot, and click Connect. Paste the key, choose which events to sync (all are on by default), and click Connect HubSpot. The card now shows Connected and your portal ID.

Where did Private Apps go?

HubSpot removed Private Apps from its menus in 2026: new accounts stopped seeing them on 28 September 2026, and every account on 26 October 2026. A Private App token you created before then still works, so an existing Gelee connection does not need to change.

New connections use a Service Key instead. It does the same job, and the steps above are the Service Key steps. HubSpot documents the change on its own developer site, linked under Sources.

What Gelee writes to HubSpot

Gelee writes to HubSpot when something happens to a prospect in one of your campaigns. The events are: the prospect accepts your connection request, replies (any reply, and separately a positive or a negative one), books a call, or gets booked automatically. On each one, Gelee creates the contact if it is new, updates it if it exists, and logs a note on the contact timeline saying what happened.

Contacts are matched by email first. If there is no email match, Gelee looks for its own LinkedIn ID field on the contact. That is how one person stays one contact, even when they replied from LinkedIn before they ever gave you an email.

Gelee never overwrites a name, company, title or email that is already on the contact. It only fills in blanks. Your CRM data wins.

Which fields Gelee adds to a contact

On the first connect, Gelee creates a small set of contact properties in your HubSpot account. Each one starts with the word Gelee, so they sort together and are easy to find when building a filter.

LinkedIn ID
The stable identifier Gelee uses to match the person. Do not edit it.
LinkedIn URL
A link to the profile.
Source
Where the person came from.
Campaign
The Gelee campaign they are in.
Last Activity
When Gelee last touched the contact.
Status
A dropdown with these values, in order: Qualified, Invited, Connected, Messaged, Replied, Interested, Booked, Not interested, Opted out. It only moves forward, so a contact who replied never drops back to Invited.
Status Changed
When the status last moved.

Three saved views worth building

The Status property is the one most teams filter on. Three active lists or saved contact views cover most of what people ask for.

Qualified
Status is Qualified. The people Gelee has picked but not yet contacted.
Engaged
Status is Replied or Interested. The people worth a human reply today.
Booked
Status is Booked. Meetings on the calendar, with the campaign that produced them.

Send a HubSpot contact to Gelee

When you connect, Gelee adds two more fields to every contact: Send to Gelee and Gelee import result. Send to Gelee is a dropdown of your Gelee campaigns. Pick one on a contact, or select many contacts and edit the field in bulk, and Gelee adds those people to that campaign within about 15 minutes.

The contact needs a LinkedIn profile URL in HubSpot. Gelee reads the standard LinkedIn URL field. People without one are skipped, and the result field says so.

Gelee import result tells you what happened to each contact: added, already in a campaign, on your do-not-contact list, or did not pass the campaign filters. Clearing that field sends the contact through again.

New campaign missing from the dropdown
The list refreshes on every pull. Give it 15 minutes, or ask your Gelee assistant to pull now.
Flagged a contact, nothing happened
Gelee only pulls while at least one of your campaigns is active and inside its sending hours. Check the result field after the next pull.
Want to send the same person again
Clear the Gelee import result field on the contact.

Troubleshooting

Most problems come down to the key. Start with the message you see.

Cannot find Private Apps
HubSpot removed it. Use Service Keys, as in Step 1 above. HubSpot has its own guide to Service Keys, linked under Sources.
HubSpot rejected this key
The key was cut off when you copied it, it was revoked, or the person who created it has left your HubSpot account. Copy it again from HubSpot, or create a new one.
Missing required scope(s), or could not create its contact properties
The key is missing one of the three scopes. Edit the key in HubSpot, add the scope, then paste the key into Gelee again.
Connection issue badge on the card
The key was rotated or deleted in HubSpot after you connected. Create a new key and reconnect.
Nothing appears in HubSpot
Gelee only writes on the events listed above, and only for people in Gelee campaigns. Check which events are ticked on the HubSpot card in Gelee, and give a new connection a little time for the first event to happen.

How to disconnect

In Gelee, go to Settings, then Integrations, then HubSpot, and click Disconnect. Gelee stops writing to HubSpot at once. Everything already in HubSpot stays where it is, including the Gelee properties and the timeline notes.

Common questions

Who can connect Gelee to HubSpot?

A HubSpot Super Admin, or a user with Developer tools access. Regular users cannot create a Service Key.

Will Gelee change the contacts I already have in HubSpot?

No. Gelee only fills blank fields and adds its own Gelee properties and timeline notes. It never overwrites a name, company, title or email that is already there.

Does my old Private App token still work?

Yes. Tokens created before HubSpot removed Private Apps keep working. Only new connections need a Service Key.

Can I add people to a Gelee campaign from HubSpot?

Yes. Set the Send to Gelee field on a contact to one of your campaigns. Gelee adds the person within about 15 minutes, as long as the contact has a LinkedIn profile URL, and writes the outcome to the Gelee import result field.
